Privacy Policy
Last updated: 19 August 2026
AgencyMind ("we", "us", "our") provides AI-powered lead-response tools for UK letting and estate agents. This policy explains what personal data we collect through this website, why, and what rights you have over it.
Who we are
AgencyMind is a UK-based business. You can contact us about anything in this policy at hello@agencymind.co.uk.
What we collect
When you submit the "free response-time audit" form on this site, we collect:
- Your agency name
- Your name
- Your email address
- Your phone number, if you choose to provide it
- Any message you include
Our hosting provider (Netlify) also automatically logs standard technical data for security purposes, such as IP address and browser type. We don't use this for tracking or advertising.
Why we collect it
We use this information to respond to your enquiry, carry out the response-time audit you requested, and — if you go on to become a client — to set up and deliver the AgencyMind service. Our legal basis is your consent in submitting the form, and our legitimate interest in responding to genuine business enquiries.
How we share it
We don't sell your data. It's processed by Netlify (our hosting and form provider) purely to deliver the form submission to us. If you become a client, data relevant to delivering the service may be shared with the infrastructure providers that power it (for example, our email or calendar providers) — we'll set out the specifics in your service agreement at that point.
How long we keep it
We keep enquiry data for as long as reasonably needed to respond to you and follow up, and delete it sooner if you ask us to. Client data is kept for the duration of the service relationship plus a reasonable period afterwards for record-keeping.
Your rights
Under UK GDPR, you have the right to access the personal data we hold about you, ask us to correct or delete it, object to how we use it, or ask us to restrict our use of it. To exercise any of these, email hello@agencymind.co.uk. You can also complain to the Information Commissioner's Office (ICO) if you're unhappy with how we've handled your data.
Cookies
This site does not use tracking, analytics, or advertising cookies.
Changes to this policy
We may update this policy as the business grows. We'll update the date at the top when we do.
